Thank you for your interest in becoming a vendor at the Olalla Lavender Festival 2025! 💜
The Olalla Lavender Festival is a curated, village-style celebration rooted in community, beauty, and thoughtful experiences. Each year, we strive to create a festival that feels joyful, cohesive, and inspired by lavender, not just as a plant, but as a feeling.
Based on public feedback and our post-festival survey, we are refining our vendor selection this year to place a stronger emphasis on lavender-inspired and lavender-themed offerings. Our goal is not uniformity, but harmony, a festival experience where visitors encounter lavender in many creative, delicious, and unexpected ways. We warmly invite artisans and food vendors whose offerings align with this spirit to apply.
What We’re Looking For
Artisan & Maker Vendors
Examples include (but are not limited to):

Lavender-based body care, skincare, or wellness products

Lavender-inspired art, photography, ceramics, or textiles

Botanical or floral creations with a lavender focus

Handmade goods that thoughtfully incorporate lavender (scent, color, theme, story)
Lavender does not need to be the only element of your work, but it should be a meaningful and visible part of what you present at the festival.
Food Vendors
We welcome food vendors who can creatively incorporate lavender or a lavender-inspired element into their offerings, such as:

Lavender-infused baked goods or desserts

Beverages featuring lavender (lemonade, syrups, teas, cocktails/mocktails where permitted)

Savory items thoughtfully paired with lavender flavors

Special “festival-only” lavender items created just for the event
We understand that not every menu item can include lavender, however, at least one featured lavender-inspired offering is required for food vendors.
Think of this as a creative invitation rather than a limitation. We know our vendor community is wonderfully imaginative, and we’re excited to see the beautiful, thoughtful, and delicious ways you might interpret the lavender theme.

This allows us to create a festival that feels intentional, beautiful, and memorable for visitors, and beneficial for vendors.

VENDOR TERMS & CONDITIONS
📅 Festival Dates: July 18 & 19, 2026 from 10:00 AM to 5:00PM
📍 Location: Olalla Grange (main venue) & multiple venues across and near Olalla, WA

By submitting your application, you acknowledge that you have read and agreed to these Terms & Conditions. If your application is approved, you will be notified and required to pay the vendor participation fee to confirm your spot.
Vendor Attendance & Participation

Vendors are expected to be present and operational for the full duration of the festival, including all scheduled festival days and posted operating hours.

Vendors who are unable to attend for the full duration must disclose this at the time of application. Partial participation is subject to approval and space availability.

Vendors who fail to show up, arrive late without notice, or do not attend all approved festival days may forfeit their vendor space without refund.

Vendor fees are non-refundable in the event of a no-show, late arrival, or early departure.

The Olalla Lavender Festival reserves the right to reassign vendor space or adjust the festival layout as needed to maintain a positive experience for attendees.
Vendor Application & Selection Process

All vendors must submit a completed application form and agree to the Terms & Conditions to be considered.

Applications will be reviewed by the festival committee, and vendors will be notified if selected.

Upon selection, vendors will receive a confirmation email with payment instructions.

Vendor spots are limited and will be allocated based on:
✔ Previous participation in the Olalla Lavender Festival,
✔ The quality and uniqueness of offerings,
✔ Alignment with the festival’s theme,
✔ Space availability at participating venues. -
Festival venues will be confirmed as applications are reviewed. Vendors will be assigned a location based on their offerings, space availability, and venue compatibility. If vendors have a preference for a particular type of setting, they may indicate it in their application, but placement is not guaranteed.

Participation Fee: The vendor participation fee is $120 for the weekend for artisan vendors and $250 for food vendors. This fee covers event organization, marketing, and logistical costs.

If a vendor is not satisfied with their assigned venue, they may withdraw their application within 14 days of receiving their selection notice, before payment is due.

Payment is due within 15 days of selection to secure participation. Failure to submit payment within the given timeframe may result in forfeiting your spot.
Licensing, Permits & Compliance
All vendors must comply with applicable Washington State and local business regulations.
Required for All Vendors:

Washington State Business License (UBI Number).
-
Any additional permits required by local authorities for the type of goods or services provided.
Additional Requirements for Food & Beverage Vendors:
If you are a food or beverage vendor, you must also provide:

Temporary Food Service Permit issued by the Kitsap County Health District.

Washington State Food Worker Card (for all staff handling food).
-
Mobile Food Unit Permit (if operating a food truck).
-
Fire Department Permit (if using open flames, grills, propane, or deep fryers).
-
Alcohol Permit (if serving beer, wine, or spirits – obtained from the WSLCB).
Vendors must submit copies of all required permits and licenses at least 14 days before the event. Failure to provide the necessary documentation will result in cancellation of vendor participation.
Booth & Equipment Setup

Vendors are responsible for bringing their own tents, tables, chairs, displays, and signage.

Booth spaces are 10 feet x 10 feet. If you need extra space, please request this in your application.

Electricity availability varies by venue and is not guaranteed. If electricity is needed, indicate it in your application, and we will confirm availability at your assigned location. Vendors should bring their own extension cords and power sources if required.

Vendors must secure all tents with proper weights to ensure safety.
-
Setup must be completed at least one hour before the event starts, and booths must remain open for the full duration of the festival hours.
Sales, Conduct & Vendor Responsibilities

Vendors are responsible for all transactions, pricing, and handling of sales.

All vendors must operate in a respectful and professional manner toward visitors, festival staff, and fellow vendors.

Vendors may not sell illegal, hazardous, or unsafe items.
-
No amplified music or disruptive noise is allowed without prior approval.

All vendors are responsible for cleaning their booth area before leaving.
-
Any vendor handling cash or payments is responsible for their own security and financial transactions. The festival is not responsible for lost or stolen money or items.
Weather, Event Cancellation & Refund Policy

The Olalla Lavender Festival is a rain-or-shine event. Vendors should be prepared for all weather conditions.

If the event is canceled due to unforeseen circumstances (e.g., extreme weather, government restrictions), organizers will notify vendors as soon as possible.

Vendor fees are non-refundable unless the festival is canceled by the organizers.
Liability & Indemnification (Disclaimer)
By participating in the Olalla Lavender Festival 2025, vendors agree to the following:

The Olalla Lavender Festival and its organizers, employees, volunteers, property owners, and affiliates are not liable for any accidents, injuries, theft, property damage, or financial losses before, during, or after the festival.

Vendors are responsible for their own insurance coverage, including liability and property damage insurance.
-
Vendors agree to indemnify and hold harmless the festival, its organizers, and property owners from any claims, damages, or legal fees resulting from their participation.
Vendors Contracting Directly with Participating Venues
Vendors working directly with a participating venue are contracted independently from the Olalla Lavender
Festival. Festival involvement is limited to optional website listing only. Vendors may request inclusion in the festival’s online vendor directory for a $30 listing fee.
